Job Overview
The PDI Administration Staff is responsible for managing administrative, documentation, data management, and reporting activities related to vehicle preparation and delivery operations.
The role focuses primarily on administration, data tracking, SAP and Excel management, document filing, vendor coordination, and procurement-related administration. The position will work closely with internal teams and external vendors to ensure all administrative processes, documentation, quotations, purchase requests, purchase orders, and operational records are properly managed and completed on time.
The position is based at Cakung, Jakarta Timur and may also support operational activities at the stockyard when required. Fresh graduates are welcome to apply, particularly candidates with strong administrative, Excel, and coordination skills.
Responsibilities:
- Manage and maintain daily administrative activities related to vehicle preparation and delivery operations.
- Compile, update, and maintain accurate vehicle and operational data using Microsoft Excel and SAP.
- Prepare daily, weekly, and monthly reports for management and internal teams.
- Update tracking files related to vehicle status, repair progress, vendor activities, vehicle movement, and delivery readiness.
- Ensure data accuracy and consistency between SAP, Excel tracking files, supporting documents, and actual operational status.
- Prepare, organize, and maintain administrative documents and supporting records.
- Perform proper physical and digital filing and archiving of all relevant documents.
- Request and collect quotation proposals from vendors based on operational requirements.
- Prepare Purchase Requisitions (PR) and support the Purchase Order (PO) process in coordination with relevant departments.
- Maintain proper records of vendor quotations, PR, PO, invoices, and other related documents.
- Coordinate with Warehouse, Logistics, Service, Parts, and other relevant teams to ensure smooth operational activities.
- Monitor and update vehicle status based on information received from internal teams and vendors.
- Conduct physical verification of vehicle status when required and reconcile it with administrative records.
- Support stockyard and field activities when required.
- Perform other administrative and operational tasks assigned by the supervisor.
Qualifications:
- Bachelor's Degree (S1) in Business Administration, Management or a related field.
- Fresh graduates are welcome to apply.
- Strong administrative and organizational skills.
- Proficient in Microsoft Excel, particularly for data compilation, tracking, reconciliation, and reporting.
- Familiarity with SAP is highly preferred.
- Experience in vendor coordination, quotation management, or PR/PO administration is an advantage.
- Strong documentation, filing, and data management skills with high attention to detail.
- Able to manage and organize a large volume of data and documents accurately.
- Good communication and coordination skills, especially when dealing with external vendors and internal teams.
- Tough, proactive, responsible, and able to work in a fast-paced operational environment.
- Willing to work at Cakung, Jakarta Timur and support stockyard/field activities when required.
- Able to work independently as well as part of a team.
- Available to join immediately / ASAP is highly preferred.
