Job description for Personal Assistant to Director at PT Artha Prada
Qualifications:
- A Bachelor's degree from any majors, preferred with GPA min 3.00
- Having min 1 years experience in an executive assistant role is preferred.
- Freshgraduates with basic skill in Architecture are welcome to apply.
- Men or Women with Excellence skill in Excel are encouraged to apply.
- A strong attention to detail person.
- Having High level of professionalism and a positive, can-do attitude is a must.
- Reliable and trustworthy.
- Iniatitive person.
- Having good communication skills (both written and verbal).
- Having a driver's license (SIM A) is a MUST.
- Ability to speak or written in English is preferred, Mandarin is a plus.
Working Conditions:
- Full-time position with 3 months probation.
- Occasional evening or weekend work may be required based on the Director’s schedule.
- Some travel may be required.
- Live in or near Gading Serpong/BSD/Serpong is a plus.
- Having interest in Design & Build company or basic knowledge in Architecture/Interior/Contractor/Property industry.
- Should not have allergies to animals, especially a dog.
Responsibilities:
- Calendar and Schedule Management:
- Proactively manage and organize the Director’s calendar, scheduling meetings, appointments, and travel arrangements.
- Prioritize and resolve scheduling conflicts, ensuring timely meetings and events.
- Coordinate and prepare for internal and external meetings, including sending out invites, setting agendas, and ensuring follow-up.
2. Communication Support:
- Act as the primary point of contact for internal and external communications for the Director, screening calls, emails, and other correspondence.
- Draft and proofread correspondence, ensuring professionalism and clarity.
- Respond to inquiries on behalf of the Director when appropriate.
3. Travel Arrangements:
- Plan and coordinate domestic and international travel for the Director, including flights, accommodation, transportation, and itinerary management.
- Ensure that all travel logistics are in place and support with any changes or emergencies that may arise.
4. Administrative Support:
- Handle confidential information with discretion and professionalism.
- Maintain filing systems and ensure that the Director’s office is organized and efficient.
- Prepare reports, presentations, and documents as required.
- Assist with special projects and other administrative tasks as needed.
5. Event Coordination:
- Organize events, meetings, or conferences, including venue arrangements, catering, invitations, and guest management.
- Ensure all events run smoothly and meet the Director’s expectations.
- Task Prioritization and Time Management:
- Support the Director by identifying priority tasks and ensuring deadlines are met.
- Proactively resolve issues or escalate as necessary to ensure smooth operations.
