Job Summary
We are looking for a highly organized, proactive, and hands-on Office Manager to oversee the daily operations of our office. The ideal candidate will ensure smooth business operations by managing administration, human resources, office facilities, procurement, company policies, and cross-functional coordination.
The Office Manager will work closely with Management to improve operational efficiency, maintain company standards, and support business growth.
Key Responsibilities
Office Operations
Manage the day-to-day operations of the office and ensure all administrative activities run efficiently.
Develop, implement, and improve office policies, procedures, and Standard Operating Procedures (SOPs).
Maintain office facilities, equipment, supplies, and vendor relationships.
Coordinate office maintenance and ensure a safe, clean, and productive working environment.
Human Resources & Administration
Oversee employee attendance, leave records, and personnel documentation.
Coordinate recruitment, onboarding, probation evaluations, and employee offboarding.
Ensure compliance with company policies and employment regulations.
Maintain employee files, employment contracts, and HR documentation.
Support employee performance management and disciplinary processes.
Procurement & Asset Management
Manage office procurement activities and vendor negotiations.
Monitor inventory of office supplies and company assets.
Ensure company assets are properly recorded, maintained, and controlled.
Financial & Administrative Support
Review operational expenses and monitor office budgets.
Coordinate with the Finance Department regarding invoices, reimbursements, and operational payments.
Maintain proper documentation and filing systems.
Coordination & Reporting
Coordinate activities across departments to ensure efficient communication and execution.
Prepare operational reports and provide recommendations for process improvements.
Support Management in implementing strategic initiatives and company projects.
Compliance & Governance
Ensure compliance with internal policies, company regulations, and applicable government requirements.
Monitor workplace discipline and promote a professional work culture.
Requirements
Bachelor's degree in Business Administration, Management, Human Resources, or a related field.
Minimum 3–5 years of experience in Office Management, Administration, HR, or Operations.
Strong leadership and organizational skills.
Excellent communication and interpersonal skills.
Strong problem-solving and decision-making abilities.
Proficient in Microsoft Office (Excel, Word, PowerPoint).
Experience with HRIS or ERP systems is an advantage.
Able to work independently and manage multiple priorities.
High level of integrity, professionalism, and attention to detail.
Preferred Qualifications
Experience working in a trading, distribution, manufacturing, or B2B company.
Knowledge of Indonesian employment regulations.
Good written and verbal English communication skills.
Working Hours: Monday – Friday 09:00 AM – 06:00 PM (WIB)
