Job description for Nhân Viên Hành Chính Kiêm Lễ Tân at Forbes Vietnam
- Provide administrative and operational support to the MD and CEO, helping to optimize their effectiveness in leading and managing the business of Forbes in Vietnam.
- Act as a representative, bridge and gatekeeper between the BOD and the company’s internal and external partners and stakeholders.
- Receive incoming calls and transfer calls to the appropriate departments.
- Receive, send and follow expenses incurred when sending documents by post or official dispatches to and from the company.
- Check, book flight tickets for departments.
- Support scanning documents for departments Order business cards for employees of departments when there is a proposal form.
- Follow and manage requests for stationery proposals for departments on a monthly or quarterly basis.
- Perform notarization-related tasks, make copies of work-related documents.
- Order flowers, order cars according to suggestions from other departments send requests Arrange meeting rooms according to requests for proposals from departments.
- Call to order drinking water for the office and cleaning supplies for the proposed departments. Ensure hygiene, drinking water is always clean and adequate at Forbes VN
- Schedule periodic inspection of office equipment and assets with the IT department every 6 months.
- Monthly synthesis of invoices to check debts from suppliers and make payment proposals to the accountant (VPP, Ink, Courier, Taxi, Air ticket, Mobile phone, Internet, Electricity, domestic water, water ....).
- Summarize departmental expenses to compare with the company's overall budget
- Minimum 2 years of experience
- Major in Human Resource Management, Bachelor of Economics majoring in Human Resources
- Foreign languages: English with a C or equivalent.
- Skills in planning and implementing organization and implementation of the plan.
- Negotiation and eloquence skills - fending off objections.
- Communication skills.
- Skills in drafting documents and contracts.
