Project Management Office (Mid - Senior) Office Job Description
Supports the delivery by ensuring strong governance, regulatory compliance, and disciplined project execution. This includes consolidation of reporting, management of risks and issues, financial tracking, and alignment with business, technology, risk, and compliance stakeholders. Acts as a central control point to ensure the program meets regulatory, operational, and customer expectations.
Key Responsibilities
1. Program & Portfolio Management
- Support large-scale banking programs such as digital banking, credit transformation, branch transformation, risk & compliance initiatives, or infrastructure upgrades
- Track and manage program milestones, interdependencies, and resource allocation across business, operations, and IT
- Ensure alignment with strategic priorities across retail, corporate, wealth, treasury, and risk units
- Manage overall delivery of a program or project to achieve business outcomes.
- Define project scope and monitor execution of deliverables.
2. Reporting & Executive Communication
- Prepare accurate program dashboards, RAG status updates, and management reports for COO, CIO, CRO, and project steering committees
- Provide early identification of slippage, bottlenecks, regulatory concerns, or operational risks
- Consolidate input from multiple workstreams (Tech, Ops, Channels, Risk, Compliance, Finance)
- Communicate across multiple stakeholders to manage expectations, issues and outcomes.
3. Risk, Issue & Change Management
- Maintain and manage RAID logs with a specific focus on banking operational risks and customer impact
- Support change requests with impact analysis on regulatory compliance, customer journeys, operational processes, and system landscapes
- Escalate critical issues to senior leadership with clear options and recommendations
4. Governance & Regulatory Alignment
- Implement and maintain project governance frameworks aligned with banking regulatory requirements (e.g., Basel, AML/CFT, KYC, IFRS9, operational risk guidelines)
- Ensure projects comply with internal audit, risk management, and operational control standards
- Coordinate audit and compliance reviews; track findings, actions, and closure
5. Financial Management
- Assist in program financial planning, forecasting, and budget tracking, including CAPEX/OPEX allocations
- Monitor spend across vendors, system integrators, and internal resources
- Track financial benefits related to cost reduction, risk mitigation, or revenue generation
- Strong knowledge of Banking processes: loans, deposits, payments, risk, digital banking.
6. Business & Technology Coordination
- Facilitate collaboration between Business, Operations, Technology, Risk, Legal, Procurement, and vendors
- Support system integration and testing cycles (SIT, UAT, migration rehearsals) through planning, coordination, and progress tracking
- Ensure business readiness, including updated SOPs, training plans, migration activities, and cutover preparation
- PMP/PRINCE2/Agile Scrum certification is a plus.
7. PMO Tools & Documentation
- Manage PMO toolkits: JIRA, Confluence, Clarity, SharePoint, MS Project, Power BI dashboards
- Maintain a structured repository of project artefacts: Business Requirement Documents, Functional Specification Documents, User Stories, test plans, regulatory documents, risk assessments, and sign-offs
- Standardize templates for status reports, meeting packs, RAID logs, and governance deckSkills & Competencies
- Strong knowledge of banking processes (deposits, lending/credit, payments, treasury, risk management, operations)
- Familiarity with regulatory frameworks in financial services; experience in handling audits or regulatory submissions
- Excellent stakeholder management across business, IT, risk, and senior leadership
- Strong analytical, problem-solving, and communication skills
- Proficiency with PM tools and data visualization (Power BI or similar)
- Certifications (PMP, PRINCE2, Agile, Scrum Master) are a plus
Experience Requirements
- 3 – 8+ years of Project Management Office or project/program coordination experience in financial institutions
- Exposure to large transformation programs (e.g. digital banking, risk/compliance projects, CRM/UX improvement, data or cloud initiatives)
- Experience working with system integrators, vendors, and cross-functional banking teams
