About Bali Vape & Tobacco Distribution
Bali Vape & Tobacco Distribution (BVTD) is a growing distribution company operating across Bali, managing a wide range of products and multiple SKUs across warehouse, retail, wholesale, and distribution channels.
We are looking for an experienced Inventory Controller who is highly organised, detail-oriented, and confident managing multiple SKUs, stock movements, inventory reconciliation, and warehouse accuracy.
The ideal candidate will have at least 2 years of experience in FMCG, retail, or distribution, with proven experience managing inventory in a fast-moving environment.
Key Responsibilities
Inventory Management
- Manage and monitor inventory across multiple SKUs.
- Maintain accurate stock records for all products.
- Monitor stock levels and identify low-stock, overstock, slow-moving, and fast-moving products.
- Track all stock movements including receiving, transfers, sales, returns, damages, and adjustments.
- Ensure physical inventory matches system inventory.
- Investigate and resolve stock discrepancies.
- Maintain accurate SKU codes, product descriptions, quantities, and inventory records.
- Monitor batch numbers, expiry dates, and product condition where applicable.
- Ensure proper stock rotation using FIFO/FEFO principles where applicable.
Stock Receiving & Put-Away
- Verify incoming stock against purchase orders and delivery documents.
- Check quantities, SKU codes, product condition, and packaging.
- Record received inventory accurately in the company's inventory/ERP system.
- Coordinate with warehouse staff to ensure products are correctly labelled and stored.
- Report discrepancies, shortages, overages, or damaged products immediately.
Stock Control & Warehouse Coordination
- Work closely with warehouse, purchasing, sales, finance, and operations teams.
- Monitor daily stock movements.
- Ensure all stock transfers are properly recorded.
- Control stock issued to sales teams, delivery teams, and customers.
- Monitor returned and damaged products.
- Maintain proper documentation for all inventory adjustments.
- Ensure warehouse stock is organised and easily traceable.
Stock Counting & Reconciliation
- Conduct regular cycle counts.
- Perform weekly and monthly inventory checks.
- Coordinate full physical stock counts when required.
- Compare physical stock against system records.
- Investigate variances and identify the root cause.
- Prepare stock reconciliation reports for management.
- Implement corrective actions to reduce recurring inventory discrepancies.
Inventory Planning
- Monitor stock levels and provide recommendations for replenishment.
- Identify products approaching minimum stock levels.
- Highlight slow-moving and excess inventory.
- Support purchasing decisions using accurate stock data.
- Assist management in forecasting inventory requirements.
- Monitor stock availability to prevent unnecessary stock-outs.
Daily Responsibilities
- Check opening inventory and critical stock levels.
- Monitor all incoming and outgoing stock movements.
- Verify warehouse receiving and dispatch records.
- Update inventory systems accurately.
- Check for discrepancies between physical and system stock.
- Monitor damaged, returned, or quarantined products.
- Coordinate with warehouse and sales teams regarding stock availability.
- Maintain accurate inventory documentation.
- Report significant stock issues to management.
Weekly Responsibilities
- Conduct cycle counts for selected SKUs.
- Reconcile physical stock against system records.
- Review fast-moving and slow-moving products.
- Review stock discrepancies and corrective actions.
- Monitor stock ageing and potential expiry issues.
- Prepare weekly inventory reports.
- Coordinate with purchasing regarding replenishment requirements.
Monthly Responsibilities
- Conduct and coordinate monthly stock counts.
- Prepare comprehensive inventory reconciliation reports.
- Analyse inventory variance and shrinkage.
- Review inventory turnover.
- Identify obsolete, damaged, slow-moving, and excess stock.
- Review stock accuracy by SKU.
- Provide management with recommendations to improve inventory control.
- Support month-end inventory closing and reporting.
Requirements
- Minimum 2+ years of experience in inventory control.
- Experience in FMCG, retail, wholesale, or distribution is required.
- Proven experience handling multiple SKUs and high-volume stock movements.
- Strong understanding of inventory control procedures.
- Experience with stock counting and inventory reconciliation.
- Strong knowledge of FIFO/FEFO inventory practices.
- Experience using ERP, inventory management, warehouse management, Excel, or Google Sheets.
- Strong Excel/Google Sheets skills are highly preferred.
- Excellent attention to detail.
- Strong analytical and problem-solving skills.
- Able to identify discrepancies and investigate their root causes.
- Strong communication and coordination skills.
- Able to work under pressure in a fast-moving distribution environment.
- Honest, reliable, disciplined, and highly organised.
- English language is mandatory (spoken and written).
