About Us:

WEI project areas are in Sumatra, Kalimantan, Sulawesi, Java, and other part of Indonesia, with the head office located in Jakarta.

Objective:

To manage daily human resources operations and general administrative tasks to ensure smooth employee lifecycles, accurate record-keeping, and reliable support for staff and management

Duties and Responsibilities:

The HR Administrator supports the daily operations of the People and Culture department by ensuring accurate record-keeping, assisting recruitment process, facilitating smooth onboarding and offboarding, assisting with supporting document for payroll, and maintaining compliance with local labour laws and Non-profit organization policies. The role acts as a primary contact for routine staff queries, requiring high discretion, empathy, and organizational skills

Key Responsibilities and Duties

Under the supervisions of People and Culture Manager, the HR Administrator include but are not limited to

Recruitment, Onboarding and Offboarding Support

• Assist with recruitment coordination by posting job vacancy, screening resumes and applications, organizing candidate interview schedules and summarizes the interview result.

• Assist in onboarding programs for new employee and completing new hire paperwork

• Facilitate orientation sessions, ensuring new staff members receive mandatory training and policy briefing

• Assist in offboarding process for employee leaving the organization including ensure the Resignation Process, Access Revocation, Asset Recovery and Exit Documentation.

Records and Data Management

• Update Staff Data both in the system (ERP) and internal databases with staff personal information, contract status updates, attendance and leave record

• Maintain accurate digital document of recruitment, including job vacancy, CV and application, interview record and selection report

• Generate routine reports on workforce metrics, such as attendance, leave balances, and headcount tracking.

Payroll and Benefits Coordination

• Compile and verify monthly attendance sheets, leave requests, and overtime data for payroll processing.

• Respond to employee inquiries regarding medical insurance, benefits administration, and compensation information

• Assist in tracking contract renewals and processing paperwork for staff transitions or offboarding.

Policy Compliance and Employee Relations

• Ensure all HR processes comply with national labour regulations and donor/-specific compliance requirements.

• Serve as a friendly and reliable first point of contact for routine staff questions and policy clarifications.

• Maintain strict confidentiality regarding all personnel data and sensitive workplace issues.

Other Tasks

 Assisting in the coordination and delivery of HR-related training programs.

 Other task requested by People and Culture Manager

Selection Criteria (Qualification):

Essential:

 Bachelor’s degree in Human Resources, Business Administration, Management, Psychology, or a related field.

 1 to 2 years of relevant experience in administrative or HR support roles; prior experience working in an NGO or non-profit environment is a strong advantage. Fresh graduate with strong organization experience are welcome.

 Understanding of Indonesian labour law and administrative regulations, including the Omnibus Law (Law No. 11 of 2020).

 Computer literacy with strong proficiency in Microsoft Office Suite (Excel and Word) and familiarity with HRIS or web-based HRM software or ERP

 Good communication skills in Bahasa Indonesia and English both written and verbal

 High level of integrity and ethical standard, professionalism, attention to detail, strong time-management abilities, and proven discretion when handling confidential materials.

 The ability to build strong relationships, work effectively in a multicultural environment, and show tact and sensitivity.
