The HR Admin is responsible for end-to-end employee administration, ensuring total compliance with Indonesian labor regulations, and assisting management in productivity monitoring and compensation analysis. This position plays a crucial operational role in maintaining organizational efficiency and administrative structure for an agile team (<25 headcount).
This role requires a detail-oriented HR practitioner with high personal integrity and strong quantitative skills in payroll processing, attendance tracking, and salary analytics. You will serve as the backbone of HR operations, ensuring error-free monthly payroll execution, managing BPJS enrollments, maintaining personnel records, and providing data-driven insights to executive management regarding compensation reviews and workforce productivity.
Key Performance Indicators (KPIs):
- Payroll Accuracy: Zero-error target in monthly payroll calculations.
- Timeliness: On-time execution of payroll processing and BPJS contribution filings.
- Administrative Compliance: 100% compliance rate in personnel documentation and employee administration.
- Reporting Quality: High accuracy and actionable insights in monthly attendance and productivity recap reports.
- Compensation Strategy Effectiveness: Precision and effectiveness of data-driven salary adjustment and performance bonus recommendations submitted to management.
Key Responsibilities:
- Employee Administration & Onboarding:
- Maintain, update, and securely archive master employee data, employment contracts (PKWT), non-disclosure agreements (NDAs), attendance, and leave records.
- Facilitate seamless onboarding processes for new hires and structured offboarding workflows for exiting personnel.
- Attendance & Productivity Monitoring:
- Conduct daily monitoring and validation of attendance logs (check-ins/outs, tardiness, leaves, and sickness).
- Compile monthly attendance recap reports for payroll calculations and discipline evaluation.
- Track daily/weekly workforce productivity based on KPIs or deliverables, providing performance insights to management.
- Payroll Management:
- Execute monthly payroll processing accurately, confidentially, and on schedule.
- Calculate base salaries, overtime, statutory deductions (PPh 21 tax), allowances, and compensation adjustments in full compliance with company policies.
- BPJS & Regulatory Compliance:
- Administer employee registration, data updates, and monthly contribution payments for BPJS Kesehatan and BPJS Ketenagakerjaan.
- Ensure all HR administrative operations adhere strictly to Indonesian labor laws and statutory regulations.
- Coordinate with external authorities (BPJS officers, tax authorities, banking institutions).
- Compensation & Benefits Analysis:
- Assist management in modeling annual salary adjustment simulations based on inflation and individual performance evaluations.
- Provide recommendations for performance-based bonuses and incentive structures.
- Build cost-effective, competitive compensation simulations to support executive decision-making.
Candidate Requirements:
- Education: Minimum Diploma (D3) or Bachelor’s Degree (S1) in Human Resource Management, Psychology, Law, or a related discipline.
- Experience:
- Minimum 2–4 years of proven experience as an HR Admin, Payroll Specialist, or HR Generalist.
- Direct experience working, handling, and supporting an agile team of 25-50 employees.
- Technical Expertise:
- Practical command of Indonesian labor laws, statutory regulations, payroll calculation mechanics, and BPJS (Kesehatan & Ketenagakerjaan) administration.
- Advanced proficiency in Microsoft Excel (VLOOKUP, INDEX MATCH, Pivot Tables, and complex mathematical formulas) or HRIS tools.
- Strong numerical and analytical capabilities for compensation modeling and productivity tracking.
- Language: Adequate level of English.
