Job description for GA-Facilities Supervisor at Sekolah Notre Dame

General Affairs-Facilities Supervisor

We are currently seeking a General Affairs- Facilities Supervisor who will support the Head of General Affairs Bureau in planning, coordinating, controlling, and evaluating facilities, infrastructure, general affairs, security, cleanliness, assets, and facility-related projects across the Notre Dame school network.

General Qualifications

• Minimum Bachelor’s Degree (S1) in Civil Engineering, Architecture, Electrical Engineering, Industrial Engineering, Construction Management, Management, or another relevant field.

• Minimum 3 years of experience as a Head of Department, Facilities/Infrastructure Supervisor, Project Manager, Facility Manager, or in a similar position in educational institution.

• Strong leadership, management, communication, negotiation, interpersonal, analytical, problem-solving, decision-making, and time-management skills

• Physically and mentally fit and able to conduct regular field monitoring across school facilities.

• Strong knowledge and practical experience in:

o Facilities and Infrastructure Management

o Construction and Renovation Project Management

o Facility Management

o Asset and Inventory Management

o Procurement of Goods and Services

o Budgeting and RAB preparation

o Occupational Health and Safety (K3)

o Office applications and administrative reporting

• Demonstrates the ability to adapt to and support Catholic-based character development in education, while respecting the school’s vision, mission, and values.

• Able to provide supporting documents verifying relevant work experience, such as references, recommendation letters, or employment certificates

Key Responsibilities

1. Plan, coordinate, monitor, and evaluate the management of facilities, infrastructure, and General Affairs to ensure effective and efficient operational support.

2. Prepare annual work programs, facility requirements, budgets, RAB, and related proposals in accordance with Notre Dame School’s Renstra.

3. Plan, supervise, and evaluate construction, renovation, maintenance, and facility development projects, ensuring quality, specifications, timelines, and budgets are met.

4. Manage the inventory, procurement, distribution, utilization, maintenance, and disposal of non-financial assets.

5. Ensure school facilities and infrastructure are available, functional, safe, and properly maintained.

6. Manage general services, housekeeping, workplace facilities, and other operational requirements.

7. Coordinate security, safety, orderliness, and emergency response through the Chief Security.

8. Supervise cleanliness, environmental conditions, comfort, and overall appearance of the school facilities.

9. Lead, supervise, coach, and evaluate the performance of the Chief Security and Field Staff Coordinator, as well as coordinate with maintenance, cleaning, and other supporting personnel/oursourcing agent of Cleaning Service Team.

10. Monitor facility conditions and operational services and ensure timely follow-up on identified issues and improvement needs.

11. Coordinate with contractors, consultants, vendors, suppliers, and relevant external parties to ensure work and services meet agreed specifications and requirements.

12. Coordinate with internal stakeholders, including the Head of General Affairs Bureau, Finance Bureau, Education Bureau, Principals, and Heads of Units, regarding facilities and operational needs.

13. Prepare accurate and timely monthly, semester, and annual reports covering facilities, projects, security, and General Affairs.

14. Take appropriate operational decisions in emergency situations within the scope of authority and report them to the relevant supervisor.

15. Ensure the implementation of applicable policies, SOPs, safety standards, asset management procedures, and procurement procedures.
