What You Will Contribute :
As a Reception Coordinator, you will oversee the daily operations of the front office and lead a team of two Receptionists to ensure exceptional guest experiences. You will act as the primary point of coordination for guest services, reservations, and front desk activities, while maintaining high service standards and efficient operations. This role requires strong leadership, communication, and organizational skills to support the team, manage guest relations, and ensure smooth reception operations across all shifts.
What You Will Do:
- Supervise and coordinate the daily activities of the Reception team to ensure smooth and efficient front office operations
- Lead, guide, and support Receptionists in delivering exceptional guest service and maintaining company service standards
- Welcome and assist guests in a friendly, professional, and courteous manner, while handling escalated guest concerns and special requests
- Oversee guest check-in and check-out processes, ensuring accuracy and efficiency
- Monitor room reservations, bookings, cancellations, and modifications to maintain optimal occupancy and guest satisfaction
- Ensure all guest inquiries, requests, and complaints are addressed promptly and resolved effectively
- Oversee the proper use of the System and ensure accurate maintenance of guest records and reports
- Monitor cash handling, credit card transactions, and daily cashiering procedures in accordance with Company policies
- Coordinate closely with Housekeeping, Engineering, Security, and other departments to ensure seamless guest experiences
- Provide accurate information regarding property facilities, services, promotions, and local attractions
- Prepare and review daily operational reports, guest correspondence, and administrative documentation
- Monitor lobby and reception activities to maintain a professional, welcoming, and organized front office environment
- Manage reception schedules, attendance, and shift handovers to ensure adequate team coverage at all times
- Conduct on-the-job training, coaching, and performance monitoring for Receptionists
- Support evening, night, and weekend operations as required, including handling urgent operational matters and guest issues
- Ensure compliance with Company policies, procedures, and service standards
Who We’re Looking For:
- Minimum Diploma (D1) in Hospitality, Tourism, Hotel Management, or a related field
- Minimum 1-2 year of experience as a Receptionist, Front Desk Agent, or Front Office staff in a hotel, resort, or hospitality environment
- Good communication skills in English, both spoken and written
- Excellent customer service and interpersonal skills, honest, responsible, and detail-oriented
- Well-groomed, professional, and positive attitude
- Proficient in Microsoft Office
- Experience using System for reservations, guest registration, billing, and front office operations is preferred
- Familiarity with cashiering procedures, guest account management, and night audit processes is an advantage
- Able to work independently as well as part of a team

Job Description :
- Handle all guest procedures: giving tours, reservations, check in, check out, and complaints.
- Make postings online to get sales. For example: OTA, Social Media.
- Manage the front desk by receiving incoming calls, greeting and attending to guests online and offline.
- Communicate with other staff, such as informing details of clients’ bookings, needs and complaints.
- Ensure that clients make payment on time.
- Keep clear records of down payments received and make detailed notes of balance payments
- Ensure all of the brodcast blast and personal chat delivered properly to the guests
Job Requirements:
- Minimum Diploma Degree from an academy.
- Minimum 1 year of experience in Receptionist.
- Excellent communication skills in English & Bahasa
- Good knowledge of Microsoft Outlook, Word, Excel, Power Point
- Confident, has sense of leadership, detailed, dependable and hard worker
