Our client is an international non-profit organization working across the fisheries and ocean conservation sector, partnering with fishers, industry, governments, and communities globally to build sustainable, low-impact supply chains that benefit both people and the environment.

About the Role

This is a vital, full-time enabling role at the heart of the organization's Indonesia operations. As Finance and Operations Administrator, you'll ensure the financial and administrative foundations of the Indonesia programme run smoothly, accurately, and in step with the organization's global standards.

You'll be the go-to person for day-to-day bookkeeping, payroll, statutory compliance, and general operational support — working closely with the Indonesia Programme Lead and in close coordination with the global finance team. This role suits someone who takes pride in precision, thrives on keeping things organized, and understands that strong back-office operations are what allow a mission-driven organization to deliver real impact.

This position expands an existing part-time support role into a full-time, broader capacity function, so discretion around the transition is appreciated.

Key Responsibilities


Finance and Payroll

- Maintain full bookkeeping on Xero, including debtors and creditors ledgers

- Capture project accounting and grant-related expenses on Xero and Google Sheets, ensuring accurate coding and timely reconciliation

- Monitor cash flow and prepare forecasts and funding requests for the Group Finance Manager

- Perform bank reconciliations and manage treasury functions, including processing creditor payments

- Process payroll accurately, confidentially, and on time, liaising with the external payroll provider

- Manage expense claims and advance payments, including reconciling claims against cash advances for workshops

- Review creditor payments for statutory tax compliance and liaise with external tax consultants as required

- Support year-end processes and liaise with external auditors and consultants

- Contribute to the development of internal accounting controls and processes to strengthen reporting accuracy

General Administration

- Provide general administrative, travel planning, and project support to the Indonesia Programme Lead and wider Indonesia team

- Assist with the planning and logistics of field trips and events, including travel, accommodation, and cost-effective arrangements

- Support meeting scheduling, coordination, and other operational tasks

- Ensure all administrative practices align with the organization's global standards

Qualifications

Essential

- 3 years' of experience in a similar finance and administration role

- Hands-on experience with Xero, including bookkeeping, bank reconciliations, and basic financial reporting

- Experience maintaining payroll data in cloud-based systems

- Good working knowledge of Indonesian statutory requirements, including payroll taxes and compliance obligations

- Strong communication skills in both Bahasa Indonesia and English

- Experience working within a global or cross-cultural organization

Desirable

- Prior experience within an NGO or non-profit environment (project management experience from other industries, e.g. construction, will also be considered)

- Experience in project accounting or managing expenses under grant-funded programmes

- Strong organizational ability with the capacity to manage competing priorities

- High levels of integrity, discretion, and confidentiality — this role requires handling sensitive payroll and salary information with care

- Comfortable working independently and collaboratively across time zones with a dispersed international team, including availability outside core hours as needed

- Proactive and service-oriented — anticipates needs and follows through reliably

Working Arrangements

- Significant flexibility with remote work, combined with shared workspace time for in-person collaboration

- Minimal travel required, generally limited to occasional team get-togethers or trips within Indonesia

- Availability outside core hours occasionally needed to accommodate global team coordination
