Job description for Expat Coordinator at PT.KMK Global Sports
This is a full-time on-site role for an Expat Coordinator is responsible for supporting expatriates (employees working overseas) and ensuring their work and living conditions are managed smoothly. Simultaneously to provide executive-level administrative support to senior leadership. This dual role requires exceptional organizational skills, cultural awareness, and the ability to manage multiple priorities effectively. The key responsibilities of this role may include:
1. Expatriate Support
• Relocation Assistance: Support expatriates and their families with housing searches, school enrollments, and etc.
• Visa and Immigration Management: Manage visa applications, renewals, and other compliance-related tasks in collaboration with HR and legal teams.
• Policy Compliance: Ensure expatriates understand and adhere to company policies and local regulations.
• Budget and Cost Management: Estimate and manage costs related to expatriate assignments and optimize expenses for relocation, resettlement, and benefits.
2. Personal Assistant (Senior Executive and Personal Life-Related)
• Travel Management: Arrange personal travel, relocation itineraries, and accommodations (if applicable) for expatriates and their families.
• Personal Document Management Documentation Support:
- Handle housing lease agreements, utility payments, and insurance-related documents for expatriates.
- Assist with school enrollment forms, medical records, and other personal paperwork.
- Support the preparation or translation of documents required for relocation and settling in.
• Housing Support: Manage housing contracts, coordinate maintenance requests, and assist with hiring domestic staff if needed.
• Schedule Management: Organize both professional schedules (onboarding, training, cultural adaptation sessions) and personal appointments (medical visits, family events, etc.).
• Coordination and Liaison: Act as a communication hub for expatriates, HR teams, and external service providers (e.g., immigration lawyers, relocation agents).
• Cross-Department Coordination
- Collaborate with HR, Finance, and Legal teams to address expatriate needs and ensure compliance.
- Act as a problem-solver for any logistical or operational challenges expatriates encounter.
• Additional Responsibilities
- Provide comprehensive support for expatriates’ family needs (e.g., school recommendations, local services).
- Prepare expatriate budgets and monitor costs associated with their assignments.
Requirements:
Skills in Communication and Coordination
• Strong interpersonal and communication skills to liaise with expatriates, families, HR teams, and external service providers.
• Ability to manage and coordinate complex processes across multiple stakeholders.

• Proven organizational skills to handle multiple expatriate assignments simultaneously.
