What You Will Contribute:
As a Executive Secretary to the Director, you will play a key role in supporting the Director’s daily business and operational activities across multiple hospitality projects and clients. This position requires mobility, strong organizational skills, professionalism, and the ability to work closely with both internal teams and external clients. You will act as a trusted support partner to the Director in ensuring smooth coordination, communication, scheduling, and administrative execution in a fast-paced hospitality consulting environment.
What You Will Do:
- Provide direct administrative and operational support to the Director
- Manage schedules, appointments, meetings, and travel arrangements
- Coordinate meetings and communications with clients, partners, and internal teams
- Assist in preparing reports, presentations, proposals, and business documents
- Handle correspondence, follow-ups, and daily business coordination on behalf of the Director
- Support project coordination across multiple hospitality clients and business units
- Attend meetings, site visits, and business appointments together with the Director when required
- Assist in monitoring project timelines, tasks, and operational updates
- Maintain confidentiality of business information, documents, and discussions
- Organize and maintain digital and physical filing systems
- Support event coordination, recruitment activities, and operational administration when needed
- Perform other tasks and responsibilities assigned directly by the Director
Who We’re Looking For:
- Bachelor’s degree in Business Administration, Hospitality, Communications, or related field
- Minimum 1–2 years of experience as Personal Assistant, Executive Assistant, Secretary, or similar role
- Experience in hospitality, consulting, or service industries is an advantage
- Strong organizational, multitasking, and time management skills
- Excellent communication and interpersonal skills
- Professional appearance and attitude
- High level of discretion and ability to handle confidential information
- Fluent in Bahasa Indonesia and good English communication skills, both written and spoken
- Proficient in Microsoft Office, Google Workspace, and administrative tools
- Highly adaptable, proactive, and able to work in a dynamic environment with high mobility
- Willing to travel and accompany the Director for meetings, client visits, and operational activities when required
