Job description for Executive Assistant at PT NIAGA NUSANTARA INTERNASIONAL
Main Responsibility
- Manage executive schedules, including scheduling meetings, coordinating calendars, and arranging logistics to ensure efficient use of time.
- Prepare meeting documentation and materials, reports, and presentations accurately and professionally.
- Handle written and oral communication in Mandarin and English, including business correspondence and negotiations.
- Manage files, databases, and information systems in an organized and secure manner in accordance with company standards.
- Organize and execute business events, corporate travel, and meetings with flawless attention to detail.
- Coordinate with various departments to ensure smooth operations and meet deadlines.
- Filter important information and present relevant summaries to executives to support decision-making.
- Perform other administrative tasks in accordance with the organization’s priorities and needs.
- Provide daily Mandarin ↔ Indonesian translation.
Qualifications
- Minimum education requirement: a diploma or bachelor's degree; preference will be given to candidates with a degree in Administration, Chinese Literature, or a related field.
- At least 1–2 years of experience as an Executive Assistant, Personal Assistant, or in a related administrative role in a corporate setting.
- Fluency in Mandarin (spoken and written) at a professional level; strong proficiency in Indonesian is also required; English proficiency is a plus.
- Proficiency in standard office applications such as the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other digital collaboration tools
- Superior organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
- Excellent interpersonal communication skills and the ability to adapt to various leadership styles.
- Knowledge of international business protocols and Chinese culture will provide a competitive advantage.
- Experience in travel coordination and event management is a plus.
- High level of discretion and integrity in handling sensitive and confidential company information.
