Job description for Executive Assistant at Jangkar Arunika Luminara

About the Role

We are looking for an Executive Assistant who will directly support the Chief Operating Officer (COO) in maintaining operational rhythm across business units. You will serve as a second brain ensuring the agenda is organized, important matters are not missed, and cross-unit coordination runs smoothly. You will work onsite at JAL headquarters in Kemang, South Jakarta, with occasional visits to unit offices in Lampung Selatan (University) or Depok (Padel Court) as needed.

Key Responsibilities

• Manage and optimize the company and COO calendar, meeting schedule, and daily agenda

• Prepare briefing packs before every important meeting (agenda, supporting materials, stakeholder background)

• Record meeting outcomes, manage action items, and follow up to completion

• Handle email triage and internal communications — drafting responses for COO's approval

• Track the status of various initiatives running across units (Media Agency, University, Sport)

• Coordinate communications between units and with external stakeholders

• Arrange Company business travel including transportation, accommodation, and logistics

• Prepare documents, concise reports, and presentation slides as requested

• Maintain a structured and easily accessible digital filing system

• Support the preparation of the weekly report to the CEO

Required Qualifications

• Minimum D3/S1 (Diploma/Bachelor's degree) in Business, Management, Communications, Secretarial Studies, or related fields

• 1–3 years of experience as an Executive Assistant, Personal Assistant, or Administrative Officer (high- achieving fresh graduates with relevant internships will also be considered)• Basic business literacy — familiar with general concepts of marketing, sales pipeline, budgeting, and project management (expertise not required)

• Working proficiency in both Bahasa Indonesia and English, written and verbal

• Proficient with Google Workspace, Microsoft Office, and project management tools (Notion, ClickUp, Trello, or similar)

• Strong organizational skills and attention to detail

• Ability to write professional, clear, and concise emails and documents

• High discretion — you will interact with confidential information Nice to Have

• Experience working in multi-business or holding companies

• Experience using AI tools for productivity (ChatGPT, Claude, Gemini)

• Familiarity with the media, education, sports-hospitality, or environmental industries

Success Indicators (First 90 Days)

First 30 days: Understand JAL's organizational structure and key stakeholders; manage COO's calendar with 95% + accuracy; build working relationships with JAL HQ managers (Eka, Vivi, Federico).

First 60 days: Establish an effective action items tracking system; prepare briefing packs for every strategic meeting without being reminded; begin identifying workflow inefficiencies and proposing improvements.

First 90 days: Become a trusted coordination point between COO and the team; propose a minimum of 3 implementable process improvements; become the go-to person trusted by the entire team.
