About The Role
We are looking for an Executive Assistant to the CEO and leadership team. You are a highly resourceful problem-solver and organizational force who will contribute to the efficiency of our business by providing personalized and timely support to our company’s leaders, and enabling them to be more effective in their roles. This role will require you to carry out your duties with the highest level of professionalism and discretion.
What You’ll Be Doing
- Actively manage and maintain the CEO’s work and personal schedules
- Prioritize daily agendas, schedule meetings, 1:1s, appointments, etc.
- Take meeting minutes and follow up on action items as needed
- Manage inbound and outbound communication between the CEO/leadership team and internal or external parties, to ensure information flows in a timely and accurate manner
- Handle travel (local and international) and accommodation arrangements for the leadership team
- Organize and maintain filing systems and information databases
- Prepare weekly, monthly or quarterly reports as needed
- Assist with expense claims, document submissions, and CEO’s personal admin matters as needed
- Act as an office manager by ensuring the office environment is well-kept and pleasantly maintained
- Work with the relevant teams to coordinate and execute internal events, such as company retreats, as needed
What We’re Looking For
- 2-3 years of experience in support/admin functions, such as personal/admin assistant or project assistant
- A diplomatic professional with high EQ and the ability to anticipate needs
- An astute communicator with a strong command of English (both written and verbal)
- A highly organized and meticulous multi-tasker
- A resourceful, flexible problem-solver
- An independent worker who is also great at being part of a team
- Experience with productivity tools and applications such as Google Suite/ Microsoft office
- Some experience in project/event management would be preferred, though not necessary
