F&B Project Manager – New Outlet Opening

About Oudmans Stroopwafel
Oudmans Stroopwafel is an upcoming Dutch stroopwafel concept bringing authentic, freshly made traditional Dutch stroopwafels to Jakarta. We are preparing to open our first outlet at Pasaraya Blok M and are looking for a hands-on Project Manager to lead the setup and opening process.
Job Description
We are looking for an experienced and highly organized F&B Project Manager to oversee the complete setup of our new outlet, from fit-out coordination and equipment installation to recruitment, operational preparation, and launch.
You will work directly with the business owner and take responsibility for ensuring that the project progresses according to schedule, budget, and quality standards.
Our target is to open the outlet by December 26, 2026.
Key Responsibilities
1. Project Management & Fit-Out
- Develop and manage the project timeline, milestones, and daily priorities.
- Coordinate contractors, interior designers, suppliers, and building management.
- Monitor construction, renovation, electrical work, plumbing, and equipment installation.
- Identify potential delays and proactively implement solutions.
- Ensure the outlet is completed according to the approved design, budget, and quality standards.
2. Equipment & Supplier Management
- Coordinate procurement and delivery of stroopwafel-making machines and other equipment.
- Liaise with local and international suppliers when required.
- Follow up on quotations, purchase orders, delivery schedules, and installation.
- Coordinate product testing and production readiness.
3. Budget & Reporting
- Monitor project expenses and maintain an updated budget tracker.
- Compare supplier quotations and negotiate competitive pricing.
- Provide daily progress updates to the owner.
- Report delays, risks, unexpected costs, and decisions requiring approval.
4. Recruitment & Operational Preparation
- Coordinate recruitment and onboarding of outlet staff.
- Assist in preparing SOPs, opening checklists, and operational procedures.
- Coordinate initial inventory, packaging, and supplier arrangements.
- Ensure the team is ready for product testing, staff training, and the soft opening.
5. Opening & Launch
- Coordinate the final inspection and pre-opening checklist.
- Ensure equipment, POS, payment systems, and operational supplies are ready.
- Coordinate the soft opening and resolve issues before the official launch.
- Ensure all required permits and building approvals are tracked and obtained before operations begin.
Requirements
- Minimum 3 years of relevant experience in F&B operations, retail project management, outlet development, or commercial fit-out projects.
- Proven experience opening or setting up a restaurant, café, retail outlet, or similar business.
- Strong project coordination, organizational, and problem-solving skills.
- Experience managing contractors, suppliers, budgets, and deadlines.
- Able to work independently and take ownership of project delivery.
- Strong communication and negotiation skills.
- Proficient in Google Sheets or Microsoft Excel and project tracking tools.
- Fluent in Bahasa Indonesia; working proficiency in English is required.
- Willing to work full-time in South Jakarta and regularly visit the project site.
