Job description for Assistant to Operations Director at Ormand Corp Group

Job Description:

  1. Assist the Operations Director in daily operational, administrative, and coordination tasks.
  2. Support follow-up with internal teams, vendors, suppliers, and other related parties to ensure operational matters run smoothly.
  3. Prepare, organize, and maintain documents, reports, schedules, meeting notes, and other operational records.
  4. Monitor task progress, deadlines, and pending matters, and provide regular updates to the Operations Director.
  5. Coordinate meetings, appointments, travel arrangements, and other business-related activities when needed.
  6. Assist in preparing operational reports, data recap, purchase/order tracking, and other supporting documents.
  7. Communicate with different departments to ensure instructions, requests, and follow-ups are properly delivered and completed.
  8. Handle confidential information and company documents with professionalism and discretion.
  9. Support ad hoc tasks assigned by the Operations Director related to business operations and administration.

Requirements:

  1. Bachelor’s degree in Business Administration, Management, Secretary, or related field is preferred.
  2. Minimum 1–3 years of experience as Personal Assistant, Executive Assistant, Operations Assistant, Admin Assistant, or similar role.
  3. Good administrative, coordination, and follow-up skills.
  4. Proficient in Microsoft Office / Google Workspace, especially Excel, Word, PowerPoint, Google Sheets, and Google Docs.
  5. Able to prepare reports, organize documents, manage schedules, and keep track of multiple tasks.
  6. Good communication skills, both written and verbal.
  7. Detail-oriented, organized, proactive, and able to work with deadlines.
  8. Able to work independently and coordinate with different teams.
  9. Has good problem-solving skills and willingness to support operational matters hands-on.
  10. Good English communication skills, both written and verbal.
  11. Mandarin proficiency is a plus.
