Job description for Admin & Finance Assistant at Bali Dreamcraft
We manage villa construction projects for European clients. This is not a data-entry job. You are the founder’s right hand: you chase, you negotiate, you organise, and you save the company money.
What you will do:
Manage our partners day to day: contractors, suppliers, notaries, consultants, agents. Chase them, keep them to their deadlines, keep the paperwork complete. Help with land search, one of the most important parts of this job. Follow up with land agents and owners, collect certificates and documents, build and maintain our database of available plots, and prepare the information we need before we visit a site. We need someone that is attentive to details, so if you are reading this now, start your message writting "KEDUNGU".
Organise meetings and site visits: appointments, calendars, confirmations, follow-up notes.
Handle purchasing. Compare suppliers, ask for quotes, negotiate prices on materials, furniture and equipment. Every million rupiah you save is a million rupiah of value for our clients and for us.
Track expenses project by project. Check invoices against the contract and the site progress before they are paid. Prepare monthly cost reports. Keep company documents current: NIB, OSS, permits, contracts, and monthly pajak filings with our tax consultant.
What we need
Minimum 2 years in administration, purchasing, finance or property. Strong Excel or Google Sheets, you can build a tracker, not only fill one. You are comfortable on the phone and on WhatsApp with people who do not answer the first time. You enjoy negotiating. You are organised and you do not let things fall through. Written English good enough to email clients and read contracts. A driving licence and your own motorbike.
